The Challenge: Outgrowing On-Prem Infrastructure

The organization relied on locally hosted servers to manage operational data, internal documentation, collaboration files, and mission-critical records. Over time, rapid data growth pushed existing infrastructure beyond safe capacity limits. Storage constraints began affecting performance, backup reliability, and future planning.

While adding new hardware was considered, it introduced procurement delays, capital expenditure concerns, maintenance overhead, and long-term scalability limitations. Additionally, maintaining distributed access across four geographically separated offices created complexity in connectivity and data synchronization.

The organization required a solution that would: Eliminate storage capacity limitations,  Improve remote access performance across multiple offices, Maintain secure file sharing and centralized data access, Reduce reliance on physical infrastructure,  Strengthen business continuity and disaster recovery posture. The transition needed to occur without disrupting daily legal operations, advocacy work, or community outreach services.
BeCloud designed and implemented a secure cloud migration strategy that transitioned the organization from aging on-prem servers to a scalable AWS-based environment. Rather than simply “lifting and shifting,” we modernized the infrastructure to improve performance, security, and connectivity.

All organizational data was securely migrated from local servers into a structured cloud storage environment. We deployed Linux-based cloud servers to support secure file sharing and centralized access across teams. Modern connection protocols—including QUIC—were implemented to enhance secure, low-latency communication between offices and remote staff.

To ensure seamless connectivity across four offices throughout Mississippi, a secure VPN architecture was established. This allows staff in different locations to access shared systems as though they were on the same local network—without exposing internal resources to the public internet.

Backup and resilience mechanisms were integrated to strengthen data protection. Automated backup strategies were implemented to safeguard critical records while maintaining operational simplicity for internal staff. The migration was executed in phases to avoid disruption. Systems remained operational throughout the transition, and staff were able to continue working without workflow interruptions or retraining requirements.

By moving to the cloud, the organization significantly improved its infrastructure posture. Storage is no longer constrained by physical hardware limits. Capacity can scale as needed, aligning with program growth and digital documentation expansion.

The newly deployed Linux file environment supports secure and structured file sharing, enabling better collaboration across legal teams, policy advocates, and administrative staff. Enhanced connectivity through optimized protocols improves user experience—particularly for remote and cross-office access.

Centralized management through AWS also enhances governance and monitoring capabilities. With network segmentation, controlled access policies, and encrypted data transfer, the organization now operates within a more secure and resilient framework. This transformation positions the organization to focus on its mission-driven work rather than infrastructure maintenance.
