CASE STUDY · HEALTHCARE · WORKFLOW AUTOMATION
Executive summary
A clinic’s telemedicine workflow for blood-pressure follow-ups was spread across four applications: calling, recordings, patient information and a spreadsheet for follow-up work. Clinicians and staff had to connect the pieces while completing and documenting the patient conversation.
BeCloud examined the workflow and built an application around the telemedicine encounter. Calling, patient context, documentation and follow-up became part of a connected process. The application also addressed a revenue-documentation need: helping clinicians select appropriate CPT billing codes while accurately capturing call duration to support coding decisions.
The project continues the approach shown in BeCloud’s earlier case studies: identify the business problem, map the work and make technology carry more of the coordination. Established building blocks provide a foundation that BeCloud can adapt to different workflow scenarios.
01 · The business challenge
What happens when one patient conversation requires staff to coordinate four applications?
For a blood-pressure follow-up, the clinic needed to connect the patient conversation with relevant patient information, previous conversations, documentation and the next action. When those activities lived in separate systems, clinicians and staff carried the context between them. The work continued after the encounter as someone connected the recording, notes and follow-up task.
The clinic also needed better support for coding the work accurately. Clinicians needed the appropriate billing-code information and a reliable record of duration within the encounter workflow. Reconstructing those details afterward added another coordination task.
02 · The workflow analysis
BeCloud considered the patient conversation as one operating process. The call, relevant patient information, recording, notes and follow-up belonged together. A patient calling back also needed continuity with the person who understood the previous conversation.
That insight shaped the application. The design connected what employees needed before, during and after the call, including the information supporting clinician coding decisions.
| Work stage | Coordination burden | Application response |
|---|---|---|
| Prepare | Find patients needing attention and gather context | A patient work list with relevant information |
| Connect | Move between calling, patient information and call history | One-click calling connected to patient context |
| Continue | Reestablish context when a patient calls back | Callback routing to the previous staff member |
| Document | Connect recordings, notes and duration | Recording, AI-assisted transcription and duration tracking |
| Support coding | Locate code information and reconstruct time | CPT code-selection support alongside recorded duration |
From separate tools to a connected conversation
| BEFORE · Staff carry the context | WITH THE APPLICATION · Connected work |
|---|---|
| Calling application↓ Recording application↓ Patient-information application↓ Spreadsheet follow-up | Patient work list and context↓ Call with duration tracking↓ Recording and assisted transcription↓ Follow-up and clinician coding review |
Simplified workflow comparison. It illustrates connected tasks rather than a measured reduction in processing time.
03 · The custom application
BeCloud built the application on AWS to support the clinic’s telemedicine workflow for blood-pressure follow-ups. Its calling and documentation components connect the encounter with patient context, recorded duration and coding support. The demonstration also shows broader capabilities such as patient work lists, past calls, callback routing, individual staff extensions and configurable hours and holidays.
The video also describes two-factor sign-in, encrypted recordings and transcripts in the clinic’s own AWS account, access logging and BeCloud security monitoring. These controls support the application’s security design and give the clinic evidence it can review as part of its governance process.
Watch the workflow
BeCloud developed these application building blocks for multiple workflow scenarios. This case study focuses on their use in a clinic’s telemedicine blood-pressure follow-ups; the video demonstrates the application’s broader calling and documentation capabilities.

04 · Supporting accurate coding and revenue capture
The application addressed a revenue issue as well as an operating issue. BeCloud incorporated CPT code-selection support and accurate duration capture into the workflow so clinicians have relevant information available when documenting the encounter.
Connecting those details to the conversation helps clinicians make coding decisions without reconstructing call time afterward. It supports appropriate revenue capture by improving the information available for documentation and review.
Duration tracking supplies evidence for the decision. Clinicians remain responsible for confirming the service and applicable coding requirements. The application’s coding-support benefit is reported by BeCloud; a measured increase in collected revenue has not been established for this case study.
05 · Established building blocks, different workflows
BeCloud has developed application building blocks for different workflow scenarios. Those components provide a starting point; the organization’s operating requirements determine how they should be connected and what additional development is needed.
The clinic brings knowledge of its work: where conversations lose context, where information must be entered again and where a handoff becomes another task. BeCloud brings workflow analysis, engineering and experience adapting technology around those needs.
This is the same direction illustrated in Who Assists the Assistants?, where research, brand information, content preparation and approval became a connected marketing process. In Stronger Security. Fewer Workarounds., Secure File Vault simplified document delivery alongside existing clinic recordkeeping.
Each application addresses a different operating problem. The repeatable discipline is to examine the work, identify the appropriate building blocks and adapt the solution around the people using it.
06 · Where AI adds value—and where judgment remains
AI assists with transcription after the call. Its role is specific: help turn the conversation into information that authorized staff can review and use within the workflow.
A transcript is an input to documentation. People remain responsible for checking accuracy, deciding what happens next and reviewing coding. Connecting the transcript to patient context and the recorded conversation makes that review more useful.
07 · Evidence and the next measurement
The demonstration illustrates the application’s broader calling and documentation capabilities. The telemedicine deployment described here applies those building blocks to blood-pressure follow-ups, with CPT code-selection support and duration tracking addressing the clinic’s coding needs, as reported by BeCloud.
During a prototype review, an executive described the experience:
“I see the value, this is very user friendly and streamlined”
— Executive reviewing the prototype
This feedback provides an executive perspective on perceived value and usability at the prototype stage. Production performance and financial outcomes require separate measurement.
The next measurement should compare staff coordination and documentation time, callback handoffs, follow-up completion and coding corrections against the prior process. Operating-cost comparisons should identify the services included and the comparison period. Collected revenue should be measured separately from improved coding support.
The leadership takeaway
Repeated coordination deserves the same attention as individual tasks. When employees spend time moving information between systems, the opportunity may be to connect the workflow and give them better information at the point of action.
Established technology building blocks make that discussion concrete. The clinic identifies the opportunity; BeCloud brings the know-how to assess it and build around it.
