Secure EHR Access for a Medical Billing Team—At Home and in the Office

VPN disconnects, slow connections, and cost concerns prompted a medical billing company to rethink remote EHR access.

VPN disconnects, slow connections, and unreliable access were disrupting a medical billing team working from home and the office. Staff had begun using workarounds to reach EHR systems instead of following the intended VPN access process. Cost concerns added another reason to rethink the setup.

BeCloud replaced that fragmented approach with a centrally managed AWS desktop environment using Amazon DCV. Staff access the workspace through a browser, with applications, working files, and support controls brought into one managed environment.

When connectivity becomes a security problem

The security problem was practical: an access process that staff could not depend on was being bypassed. The company needed a usable, work-focused environment that brought access back under central management, reduced reliance on employee devices for storing billing information, and gave technicians the tools to support it.

Each employee signs in with an individual account and multifactor authentication, then opens a dedicated desktop with consistent bookmarks for EHR systems and provider portals. Working folders are centralized in Amazon S3. DNS filtering adds another layer of control over access to web destinations.

Illustrative BeCloud workflow: home or office, individual sign-in and MFA, AWS desktop with DNS filtering and centralized files, then EHR access. BeCloud technicians monitor performance and manage access and sessions through an admin panel.

Illustrative workflow. The admin panel supports the environment across these steps.

Controls people can actually use

The management dashboard gives each role an appropriate level of access:

  • Employees: access their own desktop sessions.
  • Managers: review session and usage information without administering users or servers.
  • BeCloud technicians: use quick controls to manage access and sessions, troubleshoot issues, and track performance.

Administrative audit logs show who made changes and when. Session and usage reports support oversight of the workspace; activity within individual EHR systems relies on those systems’ own records.

Ongoing support built into the solution

Monitoring, alerts, and centralized controls help technicians investigate issues and keep staff working. Automated session restoration after server restarts helps maintain a consistent environment.

This is BeCloud’s Predictable Operations™ approach to managed IT in practice: clear ownership, controlled changes, and documented checks around everyday work.

Secure access. Easier support. Better oversight.

The change addressed the gap that the unreliable VPN had created: staff needed a practical way to do their jobs within the intended security controls. The managed workspace brought individual access, DNS filtering, centralized files, monitoring, and support together. Instead of relying on disconnected workarounds, the organization gained a defined environment that BeCloud could administer and oversee.

Cloud desktops support security safeguards but do not establish HIPAA compliance on their own. Local-copy restrictions depend on transfer, clipboard, printing, and endpoint settings.
